1. First reply after a miss
Hi, this is [Business]. We missed your call. Reply with your name, service address, and what you need. We will follow up.
2. After a voicemail
Hi [Name], this is [Business]. Got your voicemail about [issue]. We are reviewing and will call you at this number. Reply STOP if you do not want texts.
Only include STOP language if your business uses texting and has an opt-out process.
3. Collect missing details
Thanks. To help correctly, please reply with: 1) full name 2) service address 3) best callback number 4) brief description of the problem.
4. Set expectation without overpromising
Thanks for the details. We will call you during business hours to confirm next steps. If this is an emergency unsafe situation, call [emergency number / 911 as appropriate] now.
Do not do this
- Promise arrival times you cannot keep
- Blast the same text to cold lists
- Argue price or scope over text on first contact
- Send more than one planned follow-up without a real conversation
