Use this when a caller leaves a voicemail while your team is on a job. Edit the brackets. No software required. No guaranteed jobs or revenue.
Before you call back
- Listen to the full voicemail once
- Note: name, phone, address if given, urgency words
- Decide who owns this callback (one name)
- Do not promise an arrival time you cannot keep
Callback script (spoken)
Hi [Name], this is [Your name] with [Business name].
I am returning your call about [what they said].
I have a couple of quick questions so we can help correctly:
1) Is this for [address / area]?
2) Is anything emergency-unsafe right now (gas smell, flooding, no heat in extreme cold, etc.)?
3) What is the best number if we get cut off?
Thank you. Next step on our side is [schedule / estimate / on-site review] after we confirm details.
If you reach voicemail: leave business name, your name, reason for calling, and one clear next step. One message only.
If you text first (owner-approved only)
Hi [Name], this is [Business]. We missed your call / got your voicemail. Reply with your name, service address, and what you need. We will follow up.
