After-hours call handling for service owners

1. Define business hours in plain words

2. Decide emergency vs non-emergency
- List 3–5 true emergencies for your trade (examples only: gas smell, active flooding, no heat in extreme cold)
- Everything else: next business-day callback
- Name who is on-call this week
3. Voicemail wording (edit before use)
- Business name + hours
- What to leave: name, number, address, issue
- What happens next: “We return calls during business hours” or on-call rule
- Do not invent 24/7 coverage you do not staff
4. Morning recovery routine
- One person checks voicemail + missed calls first thing
- Prioritize true emergencies, then new work, then vendors
- Log each outcome: reached / message / not a fit
- One planned follow-up only if no answer (avoid spam loops)
