Missed-call follow-up checklist
Use this when jobs pull the team away from the phone. No software install required. No guaranteed jobs or revenue.
1. Capture the miss
- Who saw the missed call first?
- Was a voicemail left, or did the caller hang up?
- Is the call new business, existing customer, or vendor?
2. Own the follow-up
- Name one person who owns callback for today
- Set a time limit (example: within 10–30 minutes during business hours)
- Decide after-hours rule (morning callback vs on-call)
3. Send one controlled message (if you text)
- Use owner-approved wording only
- Include business name and a simple next step
- Do not promise arrival times you cannot keep
- Keep a record that the message was sent
4. Close the loop
- Mark: reached / left message / no answer / booked / not a fit
- If booked, hand off to schedule owner
- If not reached, one planned follow-up only (avoid spam)
