Same-day callback rules for small service shops

Missed calls are normal. Unowned follow-up is optional. These rules keep the afternoon from turning into a pile of forgotten voicemails—without promising more jobs or revenue.

Rule 1 — One name owns the first callback

Write: “When a new call is missed, [NAME] owns first contact within [MINUTES] during open hours.”

If two people “might” call, usually nobody does. Ownership guide →

Rule 2 — Time box beats “later”

After-hours handling →

Rule 3 — Write the outcome

Minimum columns: time missed · number · owner · first attempt · result.

Paper notepad is enough. Spreadsheets are optional.

Rule 4 — Approve wording before any automated send

If you later use SMS tools, treat live send as a separate decision: approved copy, opt-out, account ownership, and stop conditions first. The $149 kit is worksheets only—not a live install.
