HVAC missed-call follow-up checklist
No-cool and emergency calls often arrive while techs are mid-job. The failure is rarely “one miss”—it is no named owner after the miss. Use this checklist as a starting point. No guaranteed jobs or revenue.
HVAC-specific friction
- Summer peaks stack calls when trucks are full
- Rooftop / attic work means delayed phone access
- Emergency language needs careful first replies (no fake ETAs)
- Maintenance-plan and quote calls cool if nobody owns them
Checklist
- Post one ownership rule near the phone
- Choose a business-hours time box (example: 20 minutes)
- Write after-hours: who checks messages first in the morning
- Draft one first-response text; owner edits before any live use
- Log: time · number · owner · attempt · result
- Stop condition: no bulk marketing texts to cold lists
Sample first text (edit)
“This is [Company HVAC]—sorry we missed your call. Reply with your name, service address, and whether the unit is cooling or heating at all. We’ll follow up shortly. Reply STOP to opt out.”
Do not promise arrival windows in the first text unless you mean them.
